Too Many Systems Solution
Just like you, I went through growing pains of losing track of leads, having too many inefficient systems that caused me to waste hours and hours on things I shouldn't have.Without knowing it, the numerous small minutes wasted here and there were slowly bleeding me dry. It was a like a slow leak that you don't notice at first but when you do, it's baaaadd. Sometimes you're in so much frustration that you feel exhausted.
It doesn't have to be this way. I will share with you the 5 "Time Leaks" that I was able to plug that helped me gain control of my business to grow to a team of 15 where I was no longer working with buyers or sellers, no longer working weekends and had more freedom than when I was working alone.
First, let's help you identify the "slow leaks" in your business so you can at least be aware of it. Awareness is the first step in getting a solution. These are things I wish I had from the beginning when I was building my team. Eventually I did and it increased productivity, efficiency, removed headaches because I was able to work smarter not harder!
- Time Leak #1: Losing Data with Transaction Management
If your transaction management is separate from your lead generation, that causes you to duplicate information getting entered in to multiple systems or you just lose out on that information because it's so time consuming to move it over. Most agents end up losing a ton of data because their agents just don't have the time to transfer all the information over. - Time Leak #2: Lead Tracking via Website
Technology allows you to have great tracking information on your leads. When they register or return to the site, take certain actions on specific items or with certain frequency. These are all action that have meaning and is important to know about. Doing all this manually and with limited alerts can cause you to lose out on opportunities that you didn't even know about. Ignorance is bliss... but also very expensive for a real estate agent, typically in the tune of $50k or more. Ouch! - Time Leak #3: Cash-flow Tracking
Do you know the cash-flow for your business? Do you know what is expected to come in the next 30 days, 60, or 90 days? How much of that is coming to you and how much is going out to agent splits? Tracking this can be it's own nightmare. I've seen 80 hours a month dedicated to tracking details of a business. However, with the right system, they were literally able to save 80 hours a week. The staff threw an "admin party" when they were able to get rid of all that work with our help. Other teams were able to remove the cost of a whole VA by having superior systems in place. - Time Leak #4: Productivity Reality Check
"Activity does not equal Productivity". This is a great quote. There is a difference between "feeling" like you're busy vs being highly productive. Tracking actual numbers for productivity is extremely important. For example, when an agent says they did "lots of lead gen", look at the numbers to see how many dials, contacts and appointments they made is the reality check you need to have. This helps you keep on track and detect the early indicators that may lead to course correction to stay on track with your goals. - Time Leak #5: Business Without Instructions
Have you ever I felt yourself repeating something over and over again where you think "If I have to repeat these instructions one more time...!". The reality is, when you are growing a team and training is involved, the instructions have to be taught repeatedly. However, it doesn't have to be you. That's where I really started saving a ton of time by having a system where instructions, training, videos were embedded into the workflow and now I just had to point to these resources and off they went. I even had built in quizzes and check points people had to pass in order to "Pass go and collect 200".
